The charity should keep a record of the subscriber’s contact details, the wording they agreed to and when and how the choice was made.

Used to address and deliver messages. Any optional details should have a clear purpose.

Consent and preference record

Kept to demonstrate the sign-up choice and respect later changes or objections.

Delivery information

The mailing provider may record delivery, bounce, unsubscribe and limited engagement information needed to operate and improve the list.

Suppression record

A minimal record may be retained after an unsubscribe so the address is not accidentally added back without a new valid choice.

Subscriber information is not sold. It may be processed by the charity’s email, form and website providers under suitable arrangements.
