Participation should never depend on agreeing to promotional photography, and individual preferences must be respected.
The charity should explain what is planned, where images may appear and how people can say no before identifiable promotional images are created or published.
Explain whether images are for charity records, private updates, the website, printed materials, fundraising, press or named social-media channels.
Obtain appropriate permission for identifiable images of children and young people, while also taking account of the child or young person’s own wishes and understanding.
A person who does not agree to promotional photography should still be able to take part wherever this can be managed safely and reasonably.
Use sign-in information, photography notices, identifiers or a designated photo area where appropriate so volunteers and photographers understand the choices made.
An image can be personal information. Extra care is needed where images reveal disability, health information, location, routine or other sensitive context.
Do not publish images that are embarrassing, demeaning, unsafe or inconsistent with the child or family’s reasonable expectations.
Avoid pairing a child’s full name, precise location, school, routine or sensitive details with an image unless there is a clear, agreed and safe reason.
Keep original files in approved locations with access limited to people who need them, and delete them when no longer required under the charity’s retention arrangements.
External photographers, venues or partners should receive clear instructions about consent, permitted uses, storage and image handover.
Consent can be withdrawn for future use where consent is the basis. The charity will stop new use and take reasonable steps to remove images it controls, but may be unable to retrieve copies already printed, shared by others or held on third-party services.

Ask about an imageThe charity should record the withdrawal and prevent planned reuse where reasonably possible.
Explain honestly where deletion or recall is not technically or practically possible.
Families taking their own images should avoid photographing or sharing other children without permission.
An image should be removed or restricted promptly where continued use may put someone at risk.
Tell the team which image or recording is involved and where you saw it so the request can be reviewed promptly.
